Key Terms
Field
A field is a structure with a broad group of data about a significant business aspect. Fields ( dimension in model ) represent a business's entity (for example, accounts, company codes, and categories). They contain the master data, text, and hierarchical data for each of the business entities. Some dimensions are mandatory any any workspace, like Time and Account; the user can define others.
Master Data
Master data is the core business data that support the organization's critical business processes and is used as a base for any transaction. It is the typical source of data shared across all the departments in an enterprise. Master data has business-critical information about customers, suppliers, partners, products, employees, accounts and many more. An example of product master data could be the data set comprising of the product name, product description and unit price.
Property
Fields have properties based on field type. They describe the attributes of the field members. Some properties are mandatory for the type of field; the user can define other properties.
Fields capture the Organization structure, which is the framework of a company according to which a business is conducted. The organizational structure consists of many levels having a direct or indirect relationship with one another.
Field Types
Based on the purpose of the field to be created, specific type is assigned to classify the field
Field types are the list of different types of fields that can be created.
Account
Account type field is the Metric field where the chart of accounts and other statistical details are maintained. If the users want to maintain different accounts they need to select type as account. For example users can enter the complete structure of profit and loss statement or Balance Sheet in Account Dimension
Flow
Flow type field is the type of field where most of the transaction movement is maintained.
General
Any information which does not fall into the above definitions can be of General type. General type field has two (2) sub-type. The Organization subtype which is used for the organizational structure lists of entity. the second General subtype is the Partner unit subtype which is commonly used in the Consolidation reporting to show the third-party details for the intercompany transactions.
Scenario
Scenario type is the field type used for the reporting category like Actual, Budget, Plan, forecast and others which are alike.
Dataset
The manner on how the data is being recorded and track is in the Dataset type.
Time(Data)
If users want to maintain the information relating to the time, they need to select the type as time. Standard Time classification are Monthly, Quarterly, Yearly, Weekly, daily.
Currency
The user can maintain the information relating to the exchange rates while performing currency translation, they need to select the type as Currency. Any Dimension that deals with the information of Currency must be of the type of Currency. Another example can be if the dimension being maintained has information related to the currency that users want to run the translation, then this type must be chosen. Group subtype can also be activated on this Field type. Group subtype currency can be used by the user to do the consolidation reporting on the group currency level.
Ownership
This is automatically created when a reference model is created in Consolidation model
Notes
Used to input text comments
Property Types
Fields have various property types that define their characteristics, behavior, and constraints. These property types provide additional information about the fields and how they should be treated within the model. These property types help define the usage of fields within the data model. They ensure consistency, integrity, and efficient management of data within the model.
Different Property Types allowed within field are -
Link to another record
This property type allows the user to link records from the table of the available list of dimensions to the existing dimension. After clicking the property type “Link to another record,” the user can select the appropriate dimension whose records can be linked with the existing dimension. The user can then find the list of records linked from the selected dimension to the existing dimension.
Text
This property type allows the user to input text containing all the characters.
Checkbox
Property that contains all checkboxes will appear.
Multi-select
Multiselect property type allows the user to select one or more predefined options that are listed.
There is an Add option button wherein the user can add the ID of the option/s, describe the option that can be selected.
Click on the Save button.
The user can then click on the dropdown on the desired Row to make a multi-select selection.
By selecting the All On button, the user can select all the available options.
The user can select the Clear All button to clear the selection.
Single-select
Single Select property type allows the users to select a single option from predefined options in a dropdown. There is an Add option button wherein the user can add the ID, describe the option that can be selected, and click on the Save button. The user can then make a single selection by clicking on the dropdown present on the list.
Date
The date type allows the user to enter a date or pick one from the calendar from the available different date formats, namely Local, Friendly, US, European, ISO and Year. When the user clicks on save, a property with type as the Date is created.
Percentage
The data type allows user to enter percentage. The user can select the precision range from the precision dropdown. The user can select the toggle button to allow negative numbers. When the user clicks on default prefill new cells with this number and enters a number and clicks on save, the same number will appear for all the rows.
Number
Number property type gives the option for the user to use number as the attribute data. There is option for the user to set the number format to a decimal or an integer. In this type of property, the user can be able to set the precision of the decimal as required. Input of negative numbers should also be activated if needed. Number type can also be used by the user to set a default data attribute.
Parent Field
When there is a need for hierarchy reporting, then Parent Field property should be used.
Group
The group allows users to select a single option from predefined options in a dropdown. This Property type works like a Parent Field type.
Sub Field
This option allows creation of sub field within field
Team
Role type should be used for those attributes connected to the controlled security like the data access to be given to the user. There is dependency on the Role Management in order to use this property type. only roles listed on the Role management are the only list of options to be shown.
Based on the nature of use for the field, they are grouped into three default folders, namely Metrics, Enterprise Structure and System Levels on the left-side panel.
Enterprise Structure: An enterprise structure defines the various organizational units present in business according to a hierarchy. All the organizational units are modelled to meet legal and management objectives. The Enterprise Structure consists of the fields that are required for reporting in the planning or consolidation process. The business's existing organizational structure with a defined hierarchy can be replicated in the enterprise structure with modifications depending on the Planning or consolidation requirements.
Metrics: Metrics are the quantitative measurements that consist of the fields that include Key KPIs, Chart of Accounts etc., that drive the planning process.
System Levels: The System Levels fields are the fields required for data classification like the Version, Time and Dataset.
